Rental Policy
Effective Date: May 1, 2026
This Rental Policy explains how renting from IE Photo Rentals works, from reservation through return. It applies to every rental and works alongside our Deposit Policy, Damage Waiver Policy, Refund and Returns Policy, and Privacy Policy. By placing a reservation or picking up rental equipment from IE Photo Rentals, you agree to the terms of this Rental Policy and the related policies referenced below.
We are a local rental house based in Pomona, California, serving the Inland Empire, Los Angeles, Riverside, San Bernardino, and Orange counties. We rent cameras, lenses, lighting, audio, and production support equipment from top brands. Our goal is simple: get you the gear you need on time, in working condition, with no surprises. This policy is what makes that possible for everyone.

1. Eligibility to Rent
To rent equipment from IE Photo Rentals, you must:
- Be at least 18 years of age
- Have a valid IE Photo Rentals account in your legal name
- Present a valid government-issued photo ID at pickup that matches the name on the account and on the payment card
- Provide a valid credit or debit card in your own name with sufficient available credit or funds for rental charges, the Damage Waiver Fee, and the required deposit hold
- Meet any documentation requirements that apply to your rental tier (see our Deposit Policy)
We reserve the right to refuse any rental, in our sole discretion, if any of the above conditions are not met or if we have reason to believe the rental presents an unacceptable risk.
2. Accounts
All rentals are placed through an IE Photo Rentals account. Customers who have not rented through our current site since February 2022 will need to create a new account. Accounts are personal and may not be transferred or shared. You are responsible for keeping your account credentials secure and for any reservation or rental activity made under your account.
3. Reservations and Availability
Equipment is reserved through our website at iephotorentals.com using our real-time availability calendar. Submitting a reservation holds the equipment on the dates you select. Payment is not collected at the time of reservation — it is collected in person at pickup.
Reservations are confirmed when you receive a confirmation email or message from us. We do our best to honor every confirmed reservation, but in rare cases (a previous customer returning equipment damaged or late, manufacturer recalls, or shipping delays on our own restocking) an item may not be available as expected. If that happens, we will contact you as soon as we know and offer the closest available substitute, a partial substitution, or a full release of the reservation with no charge.
4. Minimum Rental Period
Our standard minimum rental is three (3) days. Shorter pickup-to-return windows are still billed at the three-day minimum unless we have agreed to a different arrangement in writing. Some specialty items may have a different minimum, which will be shown on the product page or quoted at the time of reservation.
5. Pickup
a. When and Where
All pickups are in person at our Pomona location:
558 W 2nd St., Pomona, CA 91766
Pickups must occur during our published business hours: Monday & Friday 9am–7pm, Tuesday–Thursday 10am–6pm, Saturday 9am–2pm. We are closed Sunday. We do not offer after-hours pickup.
b. What to Bring
- A valid government-issued photo ID (driver’s license or equivalent)
- A valid credit or debit card in your name
- Any qualifying waiver documentation you intend to use under our Deposit Policy
- A Certificate of Insurance, if required for your rental tier or if you are using insurance in place of the standard waiver
c. What Happens at Pickup
At pickup, our team will:
- Verify your ID and account
- Inspect each item with you and confirm its condition
- Charge the rental fee, applicable taxes, and the Damage Waiver Fee
- Place the deposit hold on your card according to our Deposit Policy
- Walk you through anything specific to the equipment you’re renting
You should plan for fifteen to thirty minutes for pickup, longer for production packages or first-time rentals.
d. Authorized Representatives
Only the person named on the reservation may pick up the equipment. Sending an assistant, friend, or production runner in your place is not permitted unless arrangements have been made and approved in writing in advance, and the representative provides their own valid ID.
6. Payment
Rental fees, applicable taxes, and the Damage Waiver Fee are charged in person at pickup, not at the time of online reservation. The deposit is held separately as an authorization on the same card. We do not accept cash, money orders, certified checks, prepaid gift cards, or third-party payment.
7. Customer Responsibilities During the Rental
From the moment you take possession of the equipment until it is returned to us and inspected, you are responsible for it. This responsibility includes:
- Operating the equipment within its intended use and the manufacturer’s specifications
- Protecting the equipment from theft, loss, water, sand, dust, smoke, and other environmental hazards
- Keeping the equipment with you or in a secure, attended location — not unattended in vehicles, hotel rooms, or public spaces
- Not loaning, sub-renting, or transferring the equipment to any third party
- Not modifying, repairing, repainting, or attempting to service the equipment yourself
- Returning all items, including all original cases, caps, cables, batteries, chargers, memory cards, and accessories, in the condition you received them
If something goes wrong during your rental — the gear malfunctions, an item is dropped, anything liquid touches a body or lens — contact us right away at 909-706-6176. Calling us early almost always leads to a better outcome than waiting until return.
8. Returns
Equipment must be returned in person to 558 W 2nd St., Pomona, CA 91766 by the close of business on the agreed return date, unless a different return time has been confirmed with us in writing. We do not currently offer outbound shipping. If you arranged to ship gear back to us, you are responsible for return shipping costs and for any loss or damage in transit until the equipment is received and inspected at our facility.
On return, our team inspects every item against the pickup record. If items are missing, damaged, or returned dirty enough to require professional cleaning, applicable fees may be charged or applied to your deposit hold. You are encouraged to inspect alongside us.
Late returns, damage, missing items, and similar issues are governed by our Refund and Returns Policy and Damage Waiver Policy.
9. Cancellations, Refunds, and Late Fees
Cancellations made before pickup are free. Once equipment is picked up and the rental fee is charged, the rental period is in effect and rental fees are generally non-refundable. Late returns incur late fees. The full terms governing cancellations, refunds, late returns, and lost equipment are in our Refund and Returns Policy.
10. Damage Waiver
A Damage Waiver Fee of one percent (1%) of the manufacturer’s retail replacement value is added to every rental. The Damage Waiver limits your financial responsibility for accidental damage to a deductible (the greater of $250 or 20% of the repair cost, capped at the retail replacement value of the item). It does not cover loss, theft, water damage, negligence, or certain other categories. Loss-of-use fees may apply for repairs that take more than 14 days. The full terms are in our Damage Waiver Policy.
11. Deposits and Insurance
Every rental requires a deposit. The amount required and the documentation that may reduce it depend on the size of the rental:
- Rentals up to $5,000: Standard deposit is 100% of retail replacement value, held on a credit or debit card. One qualifying document (annual equipment insurance, recent pay stub, current mortgage statement, or current college class schedule) can reduce the deposit by up to 80%.
- Rentals over $5,000: Annual equipment or production insurance is required, naming IE Photo Rentals as both Additional Insured and Loss Payee. A 50% deposit hold also applies. Pay stubs, mortgage statements, and class schedules cannot replace insurance at this tier.
Full requirements, qualifying documentation rules, hold release timing, and cash payment restrictions are in our Deposit Policy. We work with Athos Insurance and can refer customers for an annual production policy quote.
12. Privacy
We collect personal information to operate your account, process rentals, verify identity, manage deposits, and meet our legal obligations. Our full privacy practices, including how we use, share, retain, and protect your information, and your rights as a California resident, are described in our Privacy Policy.
13. Customer Conduct and Right to Refuse Service
We reserve the right to refuse service to any person, decline a rental, or terminate an active rental, without penalty to IE Photo Rentals, in any of the following situations:
- The customer cannot meet the eligibility requirements in Section 1
- The customer provides false, misleading, or unverifiable information
- The customer has a prior history of late returns, unpaid balances, damage disputes, or chargebacks with IE Photo Rentals
- The customer behaves in a threatening, harassing, or unsafe manner toward our staff or other customers
- We reasonably believe the equipment will be used for an unlawful purpose
Where we terminate or decline a rental for any of these reasons, no penalty applies to either party for charges that have not yet been incurred.
14. Customer Indemnification
To the fullest extent permitted by law, you agree to indemnify, defend, and hold harmless IE Photo Rentals, its owners, officers, employees, and contractors from and against any claims, demands, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to: (a) your use or misuse of the rented equipment; (b) any bodily injury, death, or property damage caused by you or your equipment to any third party during the rental period; (c) any violation of this Rental Policy, our other policies, or applicable law; or (d) any content, footage, or work product you create with the rented equipment. This obligation survives the end of your rental.
15. Disclaimer of Warranties and Limitation of Liability
Equipment is rented “as is.” We make reasonable efforts to ensure all equipment is in good working order at the time of pickup, but we do not warrant that the equipment will be free from defects or suitable for any particular purpose. To the fullest extent permitted by law, IE Photo Rentals is not liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to lost profits, lost footage, lost shoots, missed deadlines, or reshoot costs, arising out of or related to your rental. Our maximum aggregate liability to you for any rental is limited to the amount you paid IE Photo Rentals for that rental.
16. Force Majeure
IE Photo Rentals is not responsible for failure or delay in performance caused by events outside our reasonable control, including natural disasters, fires, floods, earthquakes, public health emergencies, acts of government, civil unrest, strikes, supplier failures, manufacturer recalls, or utility outages. In such cases, we will work in good faith with you to reschedule, substitute, or release the affected reservation.
17. Governing Law and Disputes
This Rental Policy is governed by the laws of the State of California, without regard to conflict-of-laws principles. Any dispute arising out of or related to a rental from IE Photo Rentals shall be brought exclusively in the state or federal courts located in Los Angeles County, California, and you and IE Photo Rentals each consent to the personal jurisdiction of those courts. If any provision of this Rental Policy is held unenforceable, the remaining provisions remain in full force and effect.
18. Changes to This Policy
We may update this Rental Policy from time to time. The version of the policy in effect on the date of your reservation applies to that rental. The current Effective Date is shown at the top of this page. Material changes will be posted on the Site, and where appropriate communicated by email.

Deposit Policy
Effective Date: May 1, 2026
IE Photo Rentals requires a deposit on every rental to protect against loss, theft, late return, and unrecoverable damage. This policy explains how deposits are calculated, how they are held, how qualifying documentation can reduce your deposit, when deposits are released, and what happens if equipment is not returned in acceptable condition.
By placing a reservation or picking up rental equipment from IE Photo Rentals, you agree to the terms of this Deposit Policy and our Rental Agreement. This policy works alongside our Damage Waiver Policy and Refund and Returns Policy. Deposits are separate from the Damage Waiver Fee and from any rental charges.
1. Standard Deposit
A deposit equal to one hundred percent (100%) of the manufacturer’s retail replacement value of all rented equipment is required on every order. The deposit is placed as a temporary authorization (a “hold”) on a valid credit or debit card at the time of pickup. The hold is in addition to the rental fee, applicable taxes, and the Damage Waiver Fee, all of which are charged separately.
Example: a rental order containing equipment with a combined retail replacement value of $5,000 requires a $5,000 deposit hold at pickup, in addition to the rental fee, taxes, and Damage Waiver Fee.
2. Deposit Structure: Two Tiers
IE Photo Rentals uses a two-tier deposit structure based on the total retail replacement value of the rented equipment. Each tier has different documentation requirements and a different deposit hold amount.
Tier 1 Rentals Up to $5,000
For rentals with a combined retail replacement value of $5,000 or less, customers may reduce the deposit by submitting one (1) qualifying document at the time of reservation. Approved documentation reduces the required deposit by up to eighty percent (80%) of the retail replacement value of the rented equipment.
The remaining twenty percent (20%) of the retail value must still be held on a valid credit or debit card at pickup. This residual hold protects against accessory loss, late return, deductibles under the Damage Waiver Policy, and damage that is excluded from the Damage Waiver. Without a qualifying document, the full 100% deposit is required.
Qualifying documents at this tier are listed in Section 3 and include equipment insurance, a recent pay stub, a current mortgage statement, or a current college class schedule.
Tier 2 Rentals Over $5,000
For rentals with a combined retail replacement value over $5,000, the following are both required:
- Annual equipment or production insurance that meets the requirements in Section 3.a, with at least sixty (60) days of remaining coverage at the time of pickup.
- A fifty percent (50%) deposit hold on a valid credit or debit card at pickup, calculated against the total retail replacement value of the rented equipment.
Pay stubs, mortgage statements, and college class schedules cannot be used to reduce the deposit on rentals above $5,000. Short-term, per-shoot, or single-event insurance policies do not qualify at this tier; an annual policy is required. Customers who do not meet both requirements above cannot complete a rental at this tier. We will flag both requirements at the time of reservation so they do not come as a surprise at pickup; we work with Athos Insurance and can refer customers for a quote on an annual production policy.
Worked Examples
The table below shows how each tier works in practice with one approved document on file. All figures are illustrative.
| Total Retail Value | Tier | Documentation | Required Hold at Pickup |
|---|---|---|---|
| $1,000 | Tier 1 | Any qualifying doc | $200 (20%) |
| $3,000 | Tier 1 | Any qualifying doc | $600 (20%) |
| $5,000 | Tier 1 | Any qualifying doc | $1,000 (20%) |
| $7,500 | Tier 2 | Annual insurance required | $3,750 (50%) |
| $10,000 | Tier 2 | Annual insurance required | $5,000 (50%) |
| $15,000 | Tier 2 | Annual insurance required | $7,500 (50%) |
| $20,000 | Tier 2 | Annual insurance required | $10,000 (50%) |
One Document Per Rental at Tier 1
Only one (1) qualifying waiver document is accepted per Tier 1 rental. Documents cannot be stacked or combined to increase the waiver amount above eighty percent. If you submit more than one document, we will apply the document that produces the most favorable waiver for you, at our discretion. Tier 2 has its own combined requirement (insurance plus 50% deposit) and is not subject to this rule.
3. Qualifying Documentation
To be eligible for a deposit waiver at Tier 1, you must submit one of the documents listed below at the time of reservation. For Tier 2 rentals (over $5,000), only equipment or production insurance under Section 3.a is accepted, and the 50% deposit hold still applies. All documents are subject to verification by IE Photo Rentals before they are accepted, and submission does not guarantee approval.
a. Annual Equipment or Production Insurance
A current Certificate of Insurance for an annual equipment or production policy meeting all of the following requirements:
- Annual policy term — short-term, per-shoot, daily, or single-event policies do not qualify, including for Tier 1 rentals
- At least sixty (60) days of remaining coverage on the date of pickup
- Names IE Photo Rentals as both Additional Insured AND Loss Payee — either designation alone does not meet this requirement
- Coverage amount equal to or greater than the retail replacement value of the rented equipment
- Coverage in effect for the entire rental period
- Schedule of covered equipment that includes, or is broad enough to include, the type of equipment being rented (camera bodies, lenses, lighting, audio, etc.)
We work with Athos Insurance and can refer customers for a quote on an annual production policy. Personal homeowners or renters insurance generally does not qualify unless a specific scheduled equipment rider is in place that meets all of the requirements above. We may verify the certificate directly with the issuing carrier or broker before accepting it.
b. Recent Pay Stub from a Verifiable Employer (Tier 1 only)
A pay stub dated within the last thirty (30) days, from a verifiable employer, showing your name, employer name, employer contact information, and gross income. Income must be sufficient to reasonably cover the retail value of the rented equipment in our reasonable judgment. Self-employment income, gig work statements, and bank deposit screenshots do not qualify under this category. Pay stubs are subject to employer verification by phone or email.
c. Current Mortgage Statement (Tier 1 only)
A mortgage statement dated within the last sixty (60) days, in your name, showing the property address. Renter’s leases, utility bills, and property tax statements do not qualify under this category.
d. Current College Class Schedule (Tier 1 only)
An official class schedule from a U.S. accredited college or university, showing your name, the institution name, and the current term. The schedule must be for a term that is currently in session or starts within thirty (30) days. Available to undergraduate and graduate students. May be paired with a current student ID at our discretion.
4. Verification
We reserve the right to verify any submitted document before accepting it. Verification may include:
- Contacting your employer by phone or email to confirm employment and income shown on a pay stub
- Contacting your insurance carrier or broker to confirm the certificate is valid, in force, and covers the rented equipment
- Contacting your school registrar to confirm enrollment
- Cross-checking documents against publicly available business and property records
We do not store income figures, account numbers, or social security numbers from these documents. Documents are reviewed for the limited purpose of evaluating a deposit waiver and are retained only as long as reasonably necessary to support the rental and our records, in line with our Privacy Policy. We may decline a document if we cannot verify it, if information appears inconsistent, or for any other reason in our sole discretion.
5. Forms of Deposit Accepted
Deposits are accepted only as a hold on a valid credit or debit card at pickup. The card must:
- Be in the name of the person picking up the rental
- Match the government-issued photo identification presented at pickup
- Have available credit or available funds equal to or greater than the required deposit, in addition to rental charges
We do not accept cash deposits, money orders, certified checks, prepaid gift cards, virtual or single-use cards, or third-party cards. We do not accept deposits charged in advance over the phone. The deposit must be authorized in person at pickup with the cardholder present.
6. How the Hold Works
A deposit hold is a temporary authorization on your card. It is not a charge. The hold reduces the available credit (on a credit card) or available funds (on a debit card) by the deposit amount until the hold is released by your card issuer. Hold behavior is set by your card issuer, not by IE Photo Rentals, and may vary by bank.
Debit card holds reduce the cash available in your bank account. While the hold is active, those funds cannot be used for other purchases or withdrawals. Some banks take longer to release debit card holds than credit card holds, sometimes up to ten (10) business days after we release the authorization on our end. For high-value rentals or for customers who cannot afford to have those funds tied up, we strongly recommend using a credit card or providing qualifying documentation to reduce the deposit amount.
7. Release of the Deposit
IE Photo Rentals releases the deposit authorization within one (1) business day of the return inspection, provided that:
- All rented equipment has been returned
- All equipment is in the same condition as at pickup, with all original accessories
- All rental fees, taxes, and any applicable late fees, damage charges, or Loss-of-Use Fees have been satisfied
Once we release the authorization, the time it takes for the funds to become available again on your card is controlled by your bank or card issuer. Typical release timelines are 1–3 business days for credit cards and up to 10 business days for debit cards. IE Photo Rentals does not control your bank’s processing time and is not responsible for delays caused by your card issuer.
8. Use of the Deposit
If equipment is not returned in acceptable condition, we may apply the deposit hold toward, or convert the hold into a charge for, any of the following:
- Late fees under our Refund and Returns Policy
- Damage Waiver deductibles, Loss-of-Use Fees, and excluded damage charges under our Damage Waiver Policy
- Replacement of missing accessories or items
- Cleaning fees for equipment returned in unsanitary condition
- Full retail replacement value of equipment that is lost, stolen, or not returned
- Administrative or collection costs related to recovering equipment or unpaid balances
We will provide an itemized statement explaining any amount charged against your deposit. If the total owed exceeds the deposit hold, the remaining balance will be charged to the card on file or invoiced to you. If the total owed is less than the deposit hold, the difference is released back to your card.
9. Right to Require Additional Deposit or Refuse Rental
IE Photo Rentals reserves the right, in our sole discretion, to:
- Require a higher deposit than the standard amount, including for rentals containing high-value or specialty items, multi-item production packages, or rentals to first-time customers
- Decline any submitted waiver document and require the standard 100% deposit
- Refuse any rental if the customer cannot provide a valid government-issued photo ID, a qualifying credit or debit card with sufficient available credit or funds, and either the required deposit hold or approved waiver documentation
- Cancel a reservation at pickup if any of the above conditions are not met, with no penalty to either party
10. Returning Customers in Good Standing
Customers with a clean rental history with IE Photo Rentals may, at our discretion, be eligible for reduced deposits, expedited pickup, or other accommodations on future rentals. Eligibility is determined by IE Photo Rentals based on rental history, on-time returns, and overall account standing, and is not guaranteed.
11. Changes to This Policy
We may update this Deposit Policy from time to time. The version of the policy in effect on the date of your reservation applies to that rental. The current Effective Date is shown at the top of this page.
Damage Waiver Policy
Effective Date: May 1, 2026
IE Photo Rentals provides a Damage Waiver Program (“DWP”) on every rental to limit your financial exposure in the event of accidental damage to rented equipment. This policy explains how the DWP works, what it covers, what it does not cover, what you are responsible for if equipment is damaged, and how damage claims are processed.
The DWP is not insurance. It is a contractual limitation on the amount you owe IE Photo Rentals if rented equipment is accidentally damaged during your rental period. By placing a reservation or picking up rental equipment from IE Photo Rentals, you agree to the terms of this Damage Waiver Policy and our Rental Agreement.
1. Damage Waiver Fee
A Damage Waiver Fee is added to every rental. The fee is calculated as one percent (1%) of the manufacturer’s retail replacement value of each item rented, applied per rental.
Example: a camera body with a retail replacement value of $2,500 carries a Damage Waiver Fee of $25 for that rental.
The Damage Waiver Fee is non-refundable. It is earned at the time of pickup and is not returned if no damage occurs.
The DWP cannot be declined. If you carry your own qualifying equipment insurance and would prefer to use it in place of the DWP, you must provide a current Certificate of Insurance naming IE Photo Rentals as Additional Insured and Loss Payee at the time of reservation, subject to our review and approval. Approval is at our sole discretion.
2. What the Damage Waiver Covers
When the DWP is in effect, your financial responsibility for accidental damage to a covered item is limited to:
- Twenty percent (20%) of the actual cost to repair the item, with a minimum charge of $250.00 per damaged item, capped at the retail replacement value of the item.
This means: if a repair quote is low, you pay the $250 minimum. If a repair quote is large, you pay 20% of it. You will never be charged more than the retail replacement value of the item under the deductible itself.
IE Photo Rentals will absorb the remaining repair cost up to the retail replacement value of the item. Repairs are arranged through our chosen service partners or the manufacturer, and we determine the scope and method of repair.
Worked Examples
The table below shows how the deductible works in practice. All figures are illustrative.
| Repair Quote | 20% of Repair | You Pay (Deductible) |
|---|---|---|
| $300 | $60 | $250 (minimum applies) |
| $1,000 | $200 | $250 (minimum applies) |
| $1,500 | $300 | $300 |
| $3,000 | $600 | $600 |
3. What the Damage Waiver Does NOT Cover
The DWP applies only to accidental damage that can be repaired. It does NOT cover, and you remain fully responsible for, the following:
- Loss or theft. If equipment is lost, stolen, misplaced, or not returned for any reason, you are responsible for one hundred percent (100%) of the manufacturer’s retail replacement value, plus any related costs. A police report may be required but does not waive your obligation.
- Water and liquid damage. Damage caused by water, rain, salt water, beverages, paint, oil, or any liquid is considered negligence and is not covered. You are responsible for one hundred percent (100%) of repair or replacement cost.
- Negligence, misuse, or intentional damage. Damage resulting from operating equipment outside its intended use, ignoring product specifications, leaving equipment unattended in a vehicle or public place, allowing untrained third parties to handle the equipment, or any reckless or intentional act is not covered. You are responsible for the full cost of repair or replacement.
- Sand, dust, smoke, and environmental contamination. Damage from sand, dust, smoke, sensor contamination, or similar environmental exposure is not covered.
- Damage to small accessories. Lens caps, lens hoods, body caps, eyecups, cables, straps, USB and HDMI cables, memory card cases, batteries, and similar items with a replacement value under $50 are not covered by DWP. Missing or damaged accessories are charged at full replacement cost.
- Cosmetic-only damage. Minor scuffs and surface marks that do not affect function will generally be absorbed by IE Photo Rentals at our discretion and are not charged. Cosmetic damage that materially affects resale value or function is treated as repair damage.
- Damage discovered after the rental period. Damage must be reported at or before return inspection. Damage discovered after equipment has been re-rented to another customer cannot be covered by your DWP.
- Third-party liability. The DWP does not cover bodily injury or property damage caused by you or your equipment to third parties. We strongly recommend a separate general liability or production insurance policy through Athos Insurance or a similar provider.
4. Loss-of-Use Fees
The Damage Waiver covers the cost of repair only. While an item is in repair, it is unavailable to rent to other customers, which results in lost revenue to IE Photo Rentals. To partially recover this lost revenue, a Loss-of-Use Fee may apply.
How Loss-of-Use Is Calculated
- Day 1 through Day 14 of the repair period: no Loss-of-Use Fee. This 14-day grace period covers diagnosis, parts ordering, and short repair turnarounds at no additional cost to you.
- Day 15 onward: a daily Loss-of-Use Fee equal to fifty percent (50%) of the standard daily rental rate for the item is charged for each day the item remains out of service, until the item is returned to rentable condition or the repair is closed.
- Loss-of-Use Fees are capped at sixty (60) days per item. After 60 days, no further Loss-of-Use Fees accrue on that item.
How the Repair Period Is Measured
The repair period begins on the day the damaged item is received back at our facility and ends on the day the item is returned to our rentable inventory by the repair facility, manufacturer, or our internal service team.
Camera body, $80 standard daily rental rate, repair takes 30 days end-to-end:
- Days 1–14: covered by grace period — no charge.
- Days 15–30: 16 days × ($80 × 50%) = 16 × $40 = $640 Loss-of-Use Fee.
5. Items That Cannot Be Repaired (Total Loss)
If a damaged item is determined by the manufacturer or our service partner to be beyond economical repair, the item is treated as a total loss. In that case:
- Your DWP deductible (20% of the manufacturer’s retail replacement value, $250 minimum, capped at retail) applies as your share of the loss.
- IE Photo Rentals absorbs the remaining replacement cost.
- Loss-of-Use Fees stop on the date the total-loss determination is made.
Total-loss determinations are made in writing and shared with you on request.
6. How Damage Claims Are Processed
We use the following process for every damage claim, regardless of size, so that you always know what to expect:
Step 1: Damage Notification at Return
At the return inspection, our team identifies any damage and documents the condition of the item with photos. You will be notified of any visible damage at the time of return whenever possible. You are encouraged to inspect alongside us.
Step 2: Initial Hold
A temporary hold of $250 is placed on the credit card on file as the deductible minimum. This hold is the floor of your eventual deductible and is applied toward, not in addition to, your final deductible amount.
Step 3: Repair Quote
We submit the item to the manufacturer or an authorized repair facility for diagnosis and a written repair quote. We will share the quote with you in writing within five (5) business days of receiving it.
Step 4: Final Deductible Calculation
Once the repair cost is known, we calculate your final deductible: the greater of $250 or 20% of the repair quote, capped at the retail replacement value of the item. If the final deductible is greater than $250, the difference is charged to the card on file. If the final deductible is $250, no additional charge is made beyond the initial hold.
Step 5: Repair Tracking and Loss-of-Use
We track the repair from drop-off to return-to-inventory. If the repair extends beyond 14 days, Loss-of-Use Fees begin to accrue starting on day 15 and are billed weekly to the card on file, with an itemized statement provided.
Step 6: Final Statement
When the item is returned to rentable inventory, we issue a final statement showing the deductible, total Loss-of-Use Fees, repair invoice, and any photos or documentation supporting the claim. You may request supporting documentation at any time during the claim.
7. Your Rights and Disputes
We document every rental, every pickup inspection, and every return inspection with photographs and written notes. If you believe damage was incorrectly attributed to your rental, or you believe the repair quote is unreasonable:
- Notify us in writing within seven (7) days of receiving the damage notification.
- Provide any supporting evidence such as your own photos taken at pickup or return.
- We will review the claim and respond in writing, including, where appropriate, requesting a second opinion or independent assessment.
Filing a credit card chargeback before completing this dispute process may delay resolution and may affect your ability to rent from IE Photo Rentals in the future.
8. Authorization to Charge
By signing the rental agreement and providing a credit or debit card at pickup, you authorize IE Photo Rentals to charge that card for:
- The Damage Waiver Fee at the time of pickup
- Your DWP deductible in the event of damage, calculated as described above
- Loss-of-Use Fees that accrue under Section 4
- Full repair or replacement costs in any case where damage is excluded from the DWP under Section 3
- Any administrative or collection costs incurred by IE Photo Rentals to resolve unpaid charges
All charges will be itemized and supported by documentation, which will be provided to you on request.
9. Insurance Alternatives
If you carry production or equipment insurance and prefer to use it in place of the DWP, you may submit a Certificate of Insurance for our review at the time of reservation. The certificate must:
- Name IE Photo Rentals as Additional Insured and Loss Payee
- Provide coverage equal to or greater than the retail replacement value of the rented equipment
- Be in effect for the entire duration of the rental period
We work with Athos Insurance and can refer you for a quote. If your certificate is approved, the DWP fee will not be charged on that rental, and damage claims will be handled through your insurance carrier rather than under this policy. Loss-of-Use Fees may still apply and are not waived by the presence of insurance unless your policy explicitly covers loss of use to the rental house.
10. Changes to This Policy
We may update this Damage Waiver Policy from time to time. The version of the policy in effect on the date of your reservation applies to that rental. The current Effective Date is shown at the top of this page.
Refund and Returns Policy
Effective Date: May 1, 2026
IE Photo Rentals is a camera, lens, lighting, and production equipment rental house serving the Inland Empire, Los Angeles, Riverside, San Bernardino, and Orange Counties from our location in Pomona, California. Because we rent equipment rather than sell it, this policy explains how cancellations, refunds, returns, late returns, damage, and lost equipment are handled. Please read it carefully before completing a reservation.
By placing a reservation or picking up rental equipment, you agree to the terms of this Refund and Returns Policy and our Rental Agreement.
1. How Reservations and Payment Work
Reservations placed through iephotorentals.com hold equipment for you on the dates you select. Payment is collected at the time of pickup, not online. At pickup, we will:
- Verify your identity using a valid driver’s license
- Inspect equipment with you and confirm the rental period
- Charge the rental fee to your credit or debit card
- Place a refundable security hold on your card equal to the full retail value of the equipment, or apply an approved deposit waiver or insurance coverage in place of the hold
The security hold is released after the equipment is returned and inspected. Release timing depends on your card issuer and is typically a few business days but can take longer.
2. Cancellations and Reservation Refunds
a. Before Pickup
Because payment is collected at pickup, you can cancel a reservation any time before pickup at no charge. To cancel, log into your account, reply to your confirmation email, or call us at 909-706-6176.
b. No-Shows
We hold equipment for you on the reserved dates and may turn down other customers as a result. If you do not pick up your reservation and do not contact us to cancel or reschedule, we may decline future reservation requests from your account.
c. After Pickup
Once equipment has been picked up and the rental fee has been charged, the rental period is in effect. Rental fees are generally non-refundable for early returns, including if your shoot is cancelled, postponed, runs short, or the gear ends up unused. We may, at our discretion, offer a partial credit toward a future rental for early returns; this is not guaranteed.
3. Minimum Rental Period
Our standard minimum rental period is three (3) days. Shorter pickup-to-return windows are still billed at the three-day minimum unless a different arrangement has been agreed in writing. Some specialty items may have a different minimum, which will be shown on the product page or quoted at reservation.
4. Returns
a. When and Where to Return
All rental equipment must be returned in person to our location at 558 W 2nd St., Pomona, CA 91766 by the close of business on the agreed return date, unless a different return time has been confirmed in writing. We do not currently provide shipping for outbound rentals. If you arranged to ship gear back to us, you are responsible for return shipping costs and for any loss or damage in transit until the equipment is received and inspected at our facility.
b. Condition on Return
Equipment must be returned in the same condition as it was at pickup, with all original cases, caps, cables, batteries, chargers, memory cards, and accessories. We strongly recommend keeping the original packaging and accessory pouches with you during your shoot.
c. Inspection
On return, we inspect every item. If items are missing, damaged, or returned dirty enough to require professional cleaning, applicable fees may be charged to the card on file or deducted from your security hold. We will notify you of any charges and provide a description of the issue.
5. Late Returns
If equipment is returned after the agreed return date and time, late fees will apply at our standard daily rental rate per item, per day, until the equipment is returned. If equipment is more than five (5) days late and we have not been able to reach you, the equipment may be considered lost or stolen and the full retail replacement value (and any related costs) may be charged to the card on file. You may also be reported to law enforcement and to industry rental databases.
If you know you will be late, contact us as soon as possible. We will do our best to extend your rental, subject to availability and additional rental fees.
6. Damage
a. Customer Responsibility
You are responsible for the equipment from the time of pickup until it is returned to us and inspected. This includes loss, theft, damage, water damage, drops, mishandling, sensor damage, missing parts, and damage caused by third parties to whom you give access to the equipment.
b. Damage Charges
If returned equipment is damaged, you authorize us to charge the cost of repair to the card on file or to deduct it from your security hold. If the equipment cannot be reasonably repaired, the full retail replacement value will be charged. Charges may include parts, labor, diagnostic fees, shipping to and from the manufacturer or repair facility, and the loss-of-use fees we incur while the equipment is out of inventory.
c. Insurance
We strongly recommend protecting yourself with rental equipment insurance. We have partnered with Athos Insurance and can be added as an Additional Insured and Loss Payee on a policy. Maintaining a qualifying insurance policy can also reduce or waive the security hold required at pickup. Insurance coverage is between you and the insurer; claim acceptance and payout terms are determined by the insurer, not by IE Photo Rentals.
7. Security Holds and Deposit Waivers
A refundable security hold equal to the full retail value of the rented equipment is placed on your credit card at pickup. The hold is released after the equipment is returned and inspected, subject to your card issuer’s processing times. The hold itself is not a payment; it is an authorization that temporarily reduces your available credit.
You may request a waiver of the security hold by providing supporting documentation, such as:
- A recent pay stub
- A current mortgage statement
- A qualifying insurance document
- A current college class schedule (for student renters)
Approved waivers may apply to rentals up to a combined retail value of $5,000. Submission of documents does not guarantee a waiver, and we may still require a hold or deposit at our discretion.
8. Defective or Misrepresented Equipment
If equipment fails to function as intended due to a defect that is not the result of customer use, contact us right away at 909-706-6176. We will work to provide a comparable replacement when one is available, or, where appropriate, issue a credit or partial refund of the rental fee for the affected portion of the rental. Refunds or credits for defective equipment are not provided for issues reported only after the rental period has ended.
9. Refund Method and Timing
Approved refunds are issued back to the original payment method. Once issued, refunds typically appear within 5–10 business days, depending on your bank or card issuer. Security hold releases are processed by your card issuer, not by IE Photo Rentals, and may take additional time to reflect on your statement.
10. Disputes and Chargebacks
If you have a concern about a charge, please contact us first so we can resolve it directly. We document each rental, pickup inspection, and return inspection, and we are happy to walk you through any charges. Filing a chargeback without first contacting us may delay resolution and may affect your ability to rent from us in the future.
11. Used Gear and Accessory Sales
From time to time we may sell used equipment or accessories. Unless explicitly stated as new and unopened with a manufacturer warranty, used items are sold “as is” and are not eligible for return or refund. Any return or warranty terms applicable to a specific used item will be confirmed in writing at the time of sale.
12. Changes to This Policy
We may update this Refund and Returns Policy from time to time. The version in effect at the time of your reservation applies to that reservation. We will post the current Effective Date at the top of this page when changes are made.
